PTO Meeting Minutes 11/9/2020

1. Introduction
a. Chipotle - don’t have numbers yet, but should have them this week
b. Jet’s Pizza - $500
c. Lake Norman Mini Golf – we didn’t have high participation for this, we made less than $100, but the owner was generous and was going to provide us with a check for $100
i. Jeff was very thrilled to partner with us and is open to supporting another one in the Spring
d. Book Fair – no money was run through the PTO for this but earned $1,000 (roughly $4k in sales)
i. All credit goes through Scholastic
e. Fall/Winter Spirit Wear Campaign - $3,238 in sales
i. We still do not have the invoice for how much we owe in order to see profit for this campaign
ii. Spirit Wear should be in on 11/13 and dispersed to students on 11/16
3. Upcoming Events
a. 14 Day of Giveaways – 100% of funds go directly to LNE!
i. Voted on selling price of the raffle ticket to be $10
ii. Raffle ticket sales will run 11/12-11/24 with winners announced 12/1-12/14
1. Want to partner with Mr.Cotton to create a ‘promotional’ video to post on FB week of 11/16
iii. Students will receive a small McDonalds toy for selling 2 raffle tickets, a free kids ice cream coupon for Cold Stone for selling 5 raffle tickets and the homeroom with the most tickets sold will receive an ice cream party
1. PTO will provide individually wrapped ice cream from the cafeteria for this event
a. Mrs. Tilley to help with a date that we can host this for the homeroom – maybe 12/4
iv. Please help share the word on social media!
4. Remaining Fall/Winter Fundraising Ideas
a. Black Friday Sale to clear out some of last year’s spirit wear inventory
i. Virtual through CheddarUp with limited items
ii. What is the next School Spirit Day?
1. We can run this campaign the week prior and pitch it if you missed out
2. Mrs. Tilley to provide us with a list of the dates for spirit days
b. Tree/Wreath Sales
i. Still working with local tree farms, more information to come
c. Holiday House
i. Can we host a pop up store off campus for 2 days for this kids? We have so much inventory left from last year to sell, PTO wouldn’t have to purchase anything
ii. Jolanda is looking into utilizing the Harbor clubhouse for this
1. We would need to pick a Friday afterschool and Saturday to do this
2. Would need volunteers as students would be dropped off to ‘shop’
iii. After school hours we would need help getting all of the items from the school to the clubhouse if we proceed

a. If anyone has any outdoor ideas for Spring, please reach out to the PTO!
6. Open Topics
a. Any options to support a charity? Last year we did a clothing drive
i. Mrs. Tilley to reach out to a few individuals on specific needs (clothing, books, food pantry, shoes, etc)
b. Angel Tree – is there a need to support an angel tree for LNE families for the holiday season?
i. Breanna will email this idea to Mrs. Tilley
ii. Mrs. Tilley will connect with Mrs. Sprinkle to see if this is an option
c. Holiday Gifts from Students/Parents to Staff
i. Amy to send Mrs. Tilley the list of all staff members who have completed the favorites survey to make sure we have accounted for everyone
ii. Once complete, group by grade level and post or send out via ConnectEd from PTO

a. Holiday Spirit Week
i. Several staff members are trying to put this together with a holiday hat or hat day, tacky sweater, etc
ii. Staff is talking about doing some small things with their classes

6. Direct Donation Program
a. Currently known as Catch the Wave – can/should we rename?
i. Dolphin Donation Drive
ii. Make a Splash with Cash
b. Dates for this to run?
i. Last year Catch the Wave ran from Sept – March
ii. Something that can always just remain ‘open’
c. Gives families an opportunity to make a one-time donation vs participating in each fundraising event
d. Could we provide prizes to the students who donate the most or at each tier
i. Don’t think this is necessary
e. Need help in getting corporate letters out, anyone is welcome to send them out
i. PTO will provide everyone with the corporate letter
7. Marquee Sign
a. Need help in updating this each week or based on new school/PTO events
i. Mara, Stephanie and Jessica Clark can help with this
b. Keys for the sign need to stay at the school as they have had to be replaced a few times
c. Digital Sign – how much would this cost
i. $3k - $5k based on a previous year’s quote
ii. Mrs.Tilley will reach out to district contact for this to see pricing
d. Can we move the sign to the middle where the existing brick LNE sign is instead of current placement?
i. If we get a digital sign, Mrs. Tilley will need to work with maintenance to have them fix/rework the existing sign
8. Open Topics

i. PTO supplied breakfast for entire staff and then lunch for the custodians
ii. We received a lot of Thank You Notes from the students
iii. Staff and custodians were so excited and very appreciative

i. There was an article posted in the Mooresville Tribune that contained incorrect information in regards to who donated (Mooresville Chamber and NASCAR Institute did not donation, Mrs. Tilley is working to have this corrected)
ii. Kids are loving this new area!
c. School Back in Session 5 days a week
i. Going great, so happy to have students back
ii. Please remind everyone to not send their children to school if they’re exhibiting symptoms
iii. Absences are being addressed appropriately due to illnesses
iv. Tardies > if the school staff is still unloading cars after 7:30, your student will not be counted tardy, we understand the line has been longer than previous years, but we actually have one of the shorter ones in the district, please continue to show patience and kindness

1. Introduction
a. Please speak up, share thoughts and ideas throughout the meeting
a. Current cash in account - $24,588.19
b. Keep in mind this year is going to look different and due to so many unknowns this is the proposed budget for 2020-2021
i. Net Fundraising:
1. Book Fair (planning a virtual one Oct 12-25)
2. Need $33,700 just to cover basic costs
ii. Operating Expenses:
1. Classroom Allotments - $12,200
2. Technology - $5,000
a. May only need 2 or 3 new TVs, some could be replaced in the next few years as some are getting close to the 5 year old mark
3. Educational Enhancements - $5,000
a. We did cut this back from previous years
b. At this point, we have only asked for funding for BrainPop and Flocabulary
4. Hospitality - $5,000
a. This covers things like back to school breakfast/lunch, teacher appreciation week, etc
5. Student Celebration & Prizes - $1,000
a. This is new this year to help cover items for students, examples are little gifts if we do Virtual Bingo
6. School Store - $2,000
a. Currently trying to sell the remaining inventory from prior year which would actually increase this line
b. Shouldn’t have a big budget this year if we do pre-orders
c. Members voted on the operating expenses and approved
d. Fundraising totals for this year so far:
i. El Cerro - $400
ii. DIY Nailed It - $80
iii. School Store Pre Orders/masks - ~$600
iv. Kona Ice - $103.20
v. Cantina 1511 – waiting on check to arrive
vi. Grocery Stores/Amazon Smile - $1,254.26
vii. School Store Pre Orders/tshirts – waiting on final bill from vendor
3. School Store/Spirit Wear/Fall Line
a. T-shirt pre order campaign went well, but not as well as we thought (~$400 net sales from this)
i. These orders are currently a week delayed due to vendor delays
b. Definitely had a lot of learnings from this as there were several backend costs that we were not aware of, thinking of what we can do differently next time
c. Potential items for the fall line include - scarves, zip up hoodie, pj pants, travel mugs, baseball hats and some lower cost items
d. Decision we need to make: allow the vendor to host a website for us and delivers directly to the families for us but costs ~$3 per transaction OR do we have enough volunteers that can help sort through orders and possibly disperse
i. Decision – let’s save the $3 fee and sort/disperse ourselves through volunteer help
4. Mums Fundraiser
a. Currently at $940 in sales, we will profit ~$4 per mum
b. Fundraiser runs from Sept 12 – Sept 18
c. Pick up arrangements
i. Lowe’s will be delivering to the school on the 25th
1. Mrs. Tilley has asked that we have them deliver on Saturday morning instead due to outdoor areas being utilized during the day and no where to store inside overnight
ii. Pick up orders will be on Saturday September 26th> will need volunteers to help disperse orders
5. Spirit Dinner Nights
a. Many restaurants are on hold due to COVID
b. September 24th> O’Charleys
i. Will have spirit wear for sale here > if you are interested in helping set up, sit at the table, please let us know
ii. We will receive a % of all sales, it will not be a requirement to say you are with LNE
c. October 2nd> Jet’s Pizza
i. Currently no delivery, Mrs. Tilley has a contact that she is going to try and see if we can add in delivery as an option
d. October 14th> TBD
6. October Family Fun Days
a. Victory Lanes > October 10th1p-3p
i. Can we do a 50/50 raffle at this event
1. Maybe not a good idea as we can only do 2 per year per state guidelines and if we don’t have a large turnout we end up utilizing a raffle and don’t have the opportunity to raise that much money
b. Mooresville Golf Range & Putt Putt > Oct 24th
i. Need to validate time
1. Depending on what time, do we split by grade level to discourage large groups at once?
ii. Can we incorporate Halloween and encourage students to wear Halloween costumes
iii. Can we put buckets of candy/trinkets at each hole
iv. Mystery hole prizes
v. Will need volunteers to help this day
7. Other Fundraising Idea > Boo Bags
a. Halloween tote bag for $10 includes bag, craft, glow stick, pumpkin decals, etc
b. Mrs. Tilley says we are unable to hold a Halloween specific fundraisers
c. Thoughts > change this to an encouragement bag during Kindness Week
8. Silent Auction
a. Torn on what to do with this > will send out emails to discuss what this looks like or when
9. Committee Chair Positions> need to be voted in
a. Fundraising Chair – Stephanie Belk (voted in)
b. Volunteer Chair – Tess Daniels/Yancy (unable to vote as they were not present)

i. Confusion around this role as this role is unable to contact teachers directly
ii. This is actually Mrs. Tilley’s role, but the 2 can partner together
iii. All communications to staff must go through Mrs. Tilley

10. Mrs. Tilley’s Message
a. We need to balance PTO events with School Events
i. We have a lot going on in October already, we do not need to add anything else
ii. LNE has a Community Events Team who wants to put together virtual events to include virtual families
1. Mrs. Mayhoff and Mrs. Tilley currently have something in the works that is not ready to be shared quite yet
b. Fitness area is done! District is still unable to use playgrounds since there is not enough man power to keep them clean
i. Can we do a socially distanced ribbon cutting with masks on?
1. Need to include Kristin and Yolanda
2. We cannot have 400 people there, but some PTO Members could attend
